EVENT PRODUCTION COORDINATOR

The Role:

Athena is looking for an event production coordinator to join our growing team. The successful candidate will be a self-starter with excellent execution skills, strong interpersonal & communication skills, and be very detail oriented.

Job Tasks and Responsibilities:

  • Assist Senior Team with the following:
    • Oversee internal and external stakeholders across a variety of disciplines to ensure successful event outcomes
    • Coordinate event technical needs, including but not limited to, ideation, collaborating with art and technical crews to brainstorm possibilities
    • Utilize prior experience and skill to develop a plan for the execution of the ideas
    • Review and edit projects real time as necessary to ensure an on time and within budget delivery
    • Maintain a ROS and conduct regular team calls to ensure all stakeholders remain aligned and understand individual responsibilities, tasks and deliverables
    • Live call events as required
    • Work with writers and creatives to produce any presentations, talking points, etc. required for a successful event
    • Maintain event budgets, follow up with vendors as required, vendor contract execution, budget reporting to clients and internal stakeholders
    • Identify and report event metrics and ROI
    • Social media execution and metrics

  • Eye for design to implement the visual aspects of an event
  • Strong multi-tasker overseeing many different tasks and collaborate with a wide range of teams
  • Strong communicator with the ability to prioritize many different simultaneous tasks
  • Assertive and capable of directing others
  • Ability to implement projects with little to no supervision
  • Ability to work well with internal and external stakeholders
  • Advanced PowerPoint and Excel user
  • Strong writing skills
  • Bachelor’s degree from a four-year college or university
  • 3-5 years of professional experience (internship experience will be considered)
